Leave & Holiday Policy

1. Policy Overview & Scope

1.1 Objective

This policy is designed to provide reasonable flexibility for our regular employees to fulfill their personal, familial, spiritual, and community commitments. This flexibility is balanced to safeguard academic excellence, student classroom continuity, and the uninterrupted execution of our broader social welfare and healthcare campaigns.

1.2 In-Scope

This policy applies uniformly to all regular full-time employees, including teaching faculty across our schools and junior college, vocational instructors, administrative staff, and core field project coordinators associated with Raja Education & Bahuuddeshiya Society. Part-time employees are entitled to utilize these leave provisions calculated strictly on a pro-rata basis.

2. Core Leave Allocation Guidelines

2.1 Annual Paid Leave Entitlement

  • All regular full-time employees are entitled to a maximum of 17 days of leave with full pay for each completed year of service.
  • Allocation Breakdown: These 17 annual paid leaves encompass a maximum of 12 days of combined Emergency Leave (EL) & Casual Leave (CL), alongside 5 days of optional festival leaves selected by the employee.

2.2 Compassionate & Exigency Leave

  • In the unfortunate event of a death, serious illness, sudden family exigency, or physical injury within an employee's immediate family, the society will grant up to 3 days of leave on full pay within that month to support the individual.

2.3 Notice Windows & Salary Safeguards

  • Planned Absences: Employees are required to submit their leave requests to their assigned Headmaster, Principal, or direct supervisor at least one week (7 days) in advance of a planned absence.
  • Unplanned / Medical Absences: In cases of sudden personal illness or unexpected injury, the employee must notify management as soon as humanly possible, indicating their current condition and expected date of return.
  • Unapproved Absence Deductions: If an employee takes more than 3 days of leave within a single month without securing formal prior approval from their supervisor, strict administrative salary deductions will be applied to that processing cycle.
  • Medical Certification: Any continuous absence from institutional duties on emergency leave extending for two or more consecutive working days must be supported by a valid medical certificate issued by a registered medical practitioner to the satisfaction of the Society.

3. Parental & Child Adoption Leave Framework

The society provides comprehensive parental leave benefits to its regular, full-time workforce to honor our commitment to family well-being and women's empowerment:

  • Maternity Leave: Eligible female employees are entitled to 3 months (90 days) of continuous maternity leave with absolutely zero salary deductions.
  • Paternity Leave: Eligible male employees are entitled to 5 days of paternity leave with zero salary deductions to support their families post-delivery.
  • Child Adoption Leave: Full-time and part-time staff members who have completed at least one (1) year of continuous service are eligible for fully paid adoption leave upon welcoming a child:
  • Female Employees: Entitled to 15 days of fully paid leave.
  • Male Employees: Entitled to 5 days of fully paid leave.

4. Community Solidarity Leave Share Program

Raja Education & Bahuuddeshiya Society operates firmly under the principle that our staff and educators work together as a cohesive family. To support one another during severe medical crises, the society maintains a leave donation framework:

  • In the event of a severe, prolonged illness affecting a staff member, colleagues are permitted to voluntarily donate a minimum of one (1) day of their accrued paid leave directly to the suffering team member.
  • This mutual transfer ensures that the affected employee can continue to receive their standard monthly salary uninterrupted while navigating their medical recovery. All leave donation requests must be signed by the donor and approved by the Executive Committee.

5. Formal Leave Application Workflow

  • Submission: All planned leaves must be submitted in writing using the official physical Leave Application Form or via a formal email request routed to the assigned Headmaster, Principal, or direct supervisor.
  • Review: Supervisors retain the right to approve, defer, or reject a leave application based on active classroom demands, exam schedules, or vital field campaign requirements. No planned leave may be taken until explicit approval is received.

6. Official Annual Holiday Framework

Employees are entitled to a maximum of 10 days of festival holidays per year. This holiday allocation is split into two distinct structures: 5 Mandatory National Holidays and 5 Floating/Optional Holidays.

6.1 Mandatory Holidays
