Employee Code of Conduct

1. Introduction & Core Objective

The fundamental purpose of this Code of Conduct is to provide a structured, ethical, and transparent framework for all employees, educators, and administrators at Raja Education & Bahuuddeshiya Society. All personnel must perform their duties faithfully, maximize community upliftment, and maintain absolute compliance with institutional guidelines.

2. Appointment, Probation, & Performance Standards

2.1 Probationary Period

  • All full-time educators, office administrators, and project workers are appointed on an initial probation period spanning the first three (3) months of their tenure.
  • Permanent confirmation of the employment relationship will be formally executed post-review of individual performance during this window.

2.2 Performance Metrics & Execution

  • Every employee must execute their designated tasks to the absolute best of their professional capacity and ensure that any team members aligned under them perform with equal diligence.
  • Daily Work Diaries: All staff members must maintain an active, daily work management report or operational diary. This log must remain on institutional premises and be presented to the respective Headmaster, Principal, or Center Manager for ongoing evaluations.
  • Outcome Orientation: Every activity, lesson plan, or welfare campaign conducted must be strictly outcome-oriented, driving a direct positive impact within the community. If any initiative falls short of producing positive results, employees are required to collaboratively review the bottleneck with their managers to implement corrective steps.
  • Reporting Infrastructure: Personnel must compile and share standard weekly and monthly performance data in a structured matrix (Excel/Digital Log) to compare ongoing metrics against historical indicators. Employees will be evaluated directly against these pre-defined baseline deliverables throughout their reviews.
  • Community Outreach: Staff members are expected to actively support institutional visibility, encouraging underrepresented families in rural Vidarbha to enroll their children in our completely free educational tracks.

3. Financial Accountability & Fee Handling Protocols

For programs where nominal fees, material expenses, or voluntary community contributions are transacted on-site, the following strict dual-signature validation framework is mandatory:

  • Immediate Collection Log: The collecting instructor or teacher must deposit the collected amount with the Center Manager or designated finance handler on the exact same day it is received.
  • Receipt Issuance: A formal, numbered receipt must be extracted from the official institutional receipt book and handed directly to the beneficiary or student.
  • Dual-Register Cross-Signing: The collector must record the transaction details within the Center Manager’s central register and sign against it. Concurrently, the collector must ensure that the Center Manager counter-signs the collector's personal tracking log to verify that the funds were securely handed over.

4. Academic & Classroom Faculty Mandates

Educators across our Primary School, Shakil Ahmad Urdu High School, and Junior College must take end-to-end institutional ownership of their student cohorts:

  • Academic Spectrum: Faculty are directly responsible for the comprehensive execution of student counseling, textbook syllabus tracking, regular lesson plan generation, daily attendance compilation, and student examination/test management.
  • Enrollment Management: Teachers must actively supervise the complete processing of student admission forms and accompanying statutory student records.
  • Classroom Digital Etiquette: The use of personal mobile devices during lecture hours or within the proximity of active classrooms is strictly minimized. In the event of an urgent, unavoidable personal emergency, the educator must step entirely outside the classroom perimeter to conclude a brief call lasting no more than 1 to 2 minutes.

5. Timings & Asset Security

5.1 Shift Timings & Seasonal Adjustments

  • Full-time personnel are bound to a standard shift of 9 hours, which incorporates 1 hour of designated breaks (Lunch/Rest).
  • Standard office timings run from 9:30 AM to 6:30 PM. However, the society permits flexibility to adjust this 9-hour window on a daily basis to accommodate local geographic dependencies, seasonal heat variations, or school board timings.
  • Employees operate on a mandatory 6-day workweek. During instances of regional festivals, community vaccination drives, or critical field projects, management may request personnel to stay for extended operational hours. All staff must mark their daily entry and exit timestamps inside the formal attendance register.

5.2 Stewardship of Society Assets

  • Employees serve as the direct custodian of all movable and immovable property belonging to the society.
  • Personnel must execute a daily inspection of classroom materials, vocational training equipment, or field supplies under their care. Any instance of physical breakdown, loss, depletion, or structural damage must be immediately flagged to the Center Manager.

6. Comprehensive Leave Policy

  • Accrual Framework: Full-time staff accumulate one (1) day of paid leave for every completed month of service. Accrued leaves can be carried over or bundled together across multiple months upon securing management sanction.
  • Planned Leave Request: Staff must provide at least one week's (or a minimum of 3 days' digital) notice to the supervisor prior to taking any planned leave.
  • Unannounced Leaves: Taking time off without prior written notice or emergency validation can result in proportional deductions from the individual's monthly pay.
  • Emergency & Backup Strategy: In an urgent emergency situation, the employee must inform the management immediately. It remains the employee's proactive responsibility to ensure that a designated alternate colleague is prepared to step in, minimizing the operational disruption to the children's school schedule or on-ground relief operations.
  • Medical Leave: Personnel are entitled to a maximum of two (2) days of self-certified sick leave at a time. Any medical absence extending past 2 consecutive days demands the submission of a formal medical fitness certificate issued by a registered medical practitioner.

7. Exit, Resignation, & Separation Framework

  • Resignation Notice Period: If an employee decides to terminate their professional relationship with the society, they must provide a formal 30-day written notice to the management committee. This window enables the trust to securely recruit and onboard a suitable replacement candidate.
  • Knowledge Transfer Obligation: Prior to their final exit date, the outgoing staff member must thoroughly share and transition all pending student metrics, registers, syllabus markers, and operational project summaries with the incoming team member. The outgoing employee must actively confirm with the Center Manager that the successor has fully comprehended all operational handovers.
  • Unnotified Desertion: Abandoning an assigned post without serving the mandatory notice period will result in the immediate freezing of all pending salary disbursements and final clearances.
  • Separation Adjustments: The standard 30-day notice timeline can be adjusted, shortened, or elongated under unique extenuating circumstances through mutual alignment between the employee and the management.
  • Involuntary Separation (Non-Performance): In situations where an employee exhibits sustained non-performance despite prior corrective counseling, the society will provide a 15-day notice period before executing a formal separation.

8. Absolute Zero Tolerance & Behavioral Integrity

Raja Education & Bahuuddeshiya Society maintains a position of absolute zero tolerance regarding infractions that compromise child safety, data security, or mutual dignity. Violating any of the clauses below will result in immediate termination of services without notice, alongside formal legal tracking under the Indian Penal Code (IPC) and local statutes:

  • Confidentiality Breaches: Unauthorized leak, disclosure, or transmission of confidential, sensitive student details, institutional records, or trust data to any unverified external individual.
  • Harassment & Misbehavior: Any action involving the physical, verbal, emotional, or sexual harassment of any team colleague, volunteer, female vocational trainee, or student beneficiary.
  • Financial Embezzlement: Falsifying receipt logs or misappropriating trust finances, mid-day meal components, or school relief supplies.

9. Regulatory Acknowledgement

Every incoming and existing employee is required to read, comprehend, and sign an annual digital or physical copy of this Code of Conduct to validate their full commitment to our shared humanitarian goals.
